Sharing your information within Wealth Dynamics
Wherever possible, information provided for internal functions is anonymised, for example, where statistical information is shared to meet
group reporting requirements. There are, however, times where we cannot provide the relevant services or process applications for employment without using some personal information. In these cases, access is only granted to employees who need it to provide those services or make decisions, and the amount of information shared is limited to the minimum that will allow them to fulfil their functions.
When you apply for employment at Wealth Dynamics and you voluntarily provide us with an initial CV, you are agreeing that we may hold and
process your information to facilitate your application for employment with us.
If we decide to progress your initial application with us, you will be provided with an additional HR privacy notice that provides greater detail on how we store and process your information. You will need to provide additional consent so we can process your application with us.
As part of our recruitment process, we use an AI-assisted tool to help us review CVs and rank candidates based on clear, objective criteria for each role. These may include:
The purpose of using this tool is to help us process applications more efficiently and identify those that meet the requirements of the job description. The AI tool works by assessing the information you provide in your application against these pre-defined criteria.
Important: The AI tool does not make decisions about your suitability for the role or whether you will be hired. All shortlisting and hiring decisions
are made by our recruitment team, who personally review each shortlisted application. We regularly check and refine the tool to ensure it is fair, accurate, and aligned with our hiring standards.
We rely on our legitimate interests to use this technology as part of managing our recruitment process, and we process your personal data in accordance with applicable data protection laws. CVs will be stored on our systems for a minimum period of 6 months and no longer than 12 months and you can instruct us to remove your information at any time.
Sharing your information with other organisations
In the usual course of our business, we use third party organisations to support the essential delivery of our services. Under these circumstances

to ensure they meet the same standards you expect from us.

Transferring your information to other countries
If we share your information with organisations in different countries, including other Wealth Dynamics companies, we ensure they apply equivalent levels of protection.

considered secure. Their laws provide you with the same rights and protections in relation to your personal data.
In the event where we transfer your data to a Wealth Dynamics entity, and that entity resides in a geographical location outside of the UK, we will ensure that all data protection controls required under GDPR (General Data Protection Regulation) are upheld and maintained. We will abide by all required data protection laws in any country we operate and will ensure that inter-company data transfers are protected.
Using your contact details
From time to time, we will send you important notices about the products or services you have asked us to provide including any changes to policies
or terms that could have an impact on you.
We may also send you emails containing newsletters and articles, information about additional products or services provided by Wealth
Dynamics, or invitations to events we are organising, attending, or sponsoring. You can opt-out of receiving these messages by contacting

We never sell or lease your personal information or share it with other organisations outside Wealth Dynamics for marketing purposes.
Storing and deleting your information
The amount of time we keep your personal information will vary depending on your relationship with Wealth Dynamics. We will retain your data when it is in our legitimate interest to do so, and we will retain for the following periods:

Name / address / email submitted via website: Maximum 18 retention
Signing up for our newsletter: 36 months
You can of course, at any time request that we delete your data from our system, and we will do so within 7 working days of the request being
made (With a working day defined as Monday to Friday).
Keeping your information secure
We take the security of personal information and confidential documents extremely seriously. Wealth Dynamics complies with data protection
legislation, and we have put in place appropriate safeguards to prevent unauthorised access or unlawful use of confidential or personal information.
We restrict access to personal information to Wealth Dynamics employees, contractors and agents who need to know that information to process it for us. Wealth Dynamics’s Information Security Management System is ISO27001 accredited, and we employ a wide variety of technical and organisational security measures to ensure the confidentiality, integrity, and availability of your information.

EXCEPTIONS
Any exceptions to this policy must be formally logged and approved by the Board, COO (Chief Operating Officer), the PAC or EXCO.
NON-COMPLIANCE
Wealth Dynamics employees handle consulting, understanding, and following this policy. There is no circumstance in which any law or regulation should be disregarded in the conduct of the Company’s business. Failure to follow this policy may result in disciplinary action, up to and including termination of employment with the Company.
